The Institute for European Environmental Policy (IEEP) is an independent and influential policy studies institute. We undertake research and consultancy work on the development, implementation and evaluation of environmental and related policies, particularly in Europe. Our focus is on current and future policy debates. We work closely with the EU institutions, national and regional authorities in different European countries, parliamentarians, NGOs and academics as well as international bodies. The Role
The Finance and Administrative assistant reports to the Chief Operating Officer of the organization. She/he is responsible for administrative and operational support to the projects and organizational activities. She/he will contribute to the monitoring of the internal policies and procedures (accounting, finance and HR) and will support the internal and external reporting of the organization.

Key responsibilities
The post carries the following responsibilities:

Accounting duties
• Processing contractor invoices and staff expenditure for Brussels and London staff
• Reconciliation and processing of company credit card transactions
• Reconciliation of supplier accounts in multi currencies and investigation of any discrepancies or issues in the books (where needed) and report the matter to the Finance Manager
• Support to the payroll administration function, including timekeeping, employee file organization, and payroll reporting;
• Manage travel reimbursement from customers/3rd parties
• Preparation of bank payments in multi currencies, on a regular basis and timely manner
• Support in the submission of the VAT and tax returns
• Assistance with the monthly, quarterly and annual financial reporting, incl. annual year end closure
• Support in the various audits of the organization and contribute to the compliance monitoring of internal policies and procedures
• Support in the organization and the maintenance of adequate filing and e-filing

General Office administration
• Reception/front of office tasks (welcoming visitors, preparing the meeting room)
• Support to General Office Administration and Management, including order of office and kitchen supplies)
• Travel bookings for staff
• Support to the project activities with normal administrative tasks when needed, including assistance for workshops/events

Profil requis - Contrat

Profil recherchéQualifications and Experience

• Bachelor’s degree in accounting or finance management or in administration or equivalent experience working in a similar post;
• At least 1 year of relevant experience in either finance and/or administration;
• You speak fluently English and have a very good knowledge of French and/or Dutch;
• Strong knowledge of the MS Office packages;
• You are dynamic, proactive and have strong organizational skills;
• You like to take initiatives and feel comfortable work in a small finance/admin team;
• You are immediately or very fast available.

Essential Desirable
Speaking French & English Experienced working with Winbooks
Excellent written and verbal communication skills Another language
Numerate with good attention to detail Knowledge of Belgian VAT
Good understanding of accountancy balance sheets & P&L codes
Experienced in Excel and Microsoft office packages



Location
The post will be based at IEEP’s Brussels office (with potential travel to the London office).
